Privacy Policy

1. Information we collect

• Account information: your name, email address, and password (stored as a one-way hash, never in plain text).
• Google sign-in: if you continue with Google, we receive your Google account ID, name, email, and profile picture from Google. We never see or store your Google password.
• Meeting data: meeting titles, room codes, start/end times, and who joined or left a meeting and when.
• Recordings: for meetings that are recorded, the video file, and any generated transcript and summary of that meeting.
• Technical data: IP address, browser/device (user agent), and session identifiers, used to keep you securely signed in.

2. How we use your information

• To create and secure your account, and to authenticate you when you sign in.
• To let you create, join, and manage video meetings.
• To store and let you play back recordings, transcripts, and summaries of your own meetings.
• To keep the service secure and to diagnose problems.

We do not sell your personal information, and we do not use it for advertising.

3. Where your data is stored

• Account, meeting, and participation records are stored in our application database.
• Recording video files, transcripts, and summaries are stored on our own self-hosted meeting infrastructure (Jitsi/Jibri), not a third-party cloud provider.

4. Who we share it with

• Google, only if you choose to sign in with Google — used solely to verify your identity.
• Our own self-hosted meeting and recording infrastructure, which stores meeting video, transcripts, and summaries so you can access them later.

We do not share your personal information with third-party advertisers or data brokers.

5. Cookies & sessions

We use a session cookie to keep you signed in. It is required for the app to function and is removed when you log out.

6. Data retention

We keep your account, meeting, and recording data for as long as your account is active. Once you delete your account, the personal data described in Section 7 is removed or anonymized immediately.

7. Account deactivation & deletion

You manage both from Dashboard → Profile/Settings. Both actions require you to re-enter your password, so no one else can deactivate or delete your account by mistake or without your consent.

Deactivate account

Temporarily disables sign-in without deleting anything. Your profile, meetings, and recordings are kept exactly as they are; reach out to us to reactivate.

Delete account

Permanent and cannot be undone. When you delete your account:

• Your personal identifying information — name, email, password, and Google account link — is permanently erased immediately.
• Every recording, transcript, and summary you own is permanently deleted.
• Meetings you created and your own participation records are removed. Where a meeting also involved other participants, its non-identifying record (title, timing) may be retained so those other participants keep their own meeting history — but it is no longer linked to your identity in any way.
• You will no longer be able to sign in with this account.

8. Your rights

• Access & correction: update your name, email, and password anytime from your Profile page.
• Deactivation & deletion: control your account as described in Section 7.

9. Security

Passwords are hashed and never stored in plain text. Both account deactivation and deletion require re-entering your password to confirm it is really you.

10. Children's privacy

EmrdMeet is not directed at children under 13, and we do not knowingly collect information from them.

11. Changes to this policy

We may update this policy from time to time. Changes take effect when posted on this page, with the "Last updated" date above reflecting the latest revision.
